Overview
The Team Assistant plays a vital role in keeping the team organised, efficient, and focused. This position supports leaders with essential administrative and coordination tasks, while also contributing to key projects and initiatives that drive success.
Responsibilities
Manage diaries and schedule key weekly, fortnightly, and monthly meetings.
Coordinate meeting logistics, including room bookings, catering, IT, and AV support.
Prepare and support presentations, reports, and documentation as needed.
Attend team and operational meetings, take minutes, and follow up on actions.
Arrange travel and itineraries, and manage expenses and timesheets.
Assist with internal events, conferences, and client entertainment.
Maintain and update key team documents to ensure accuracy and consistency.
Collaborate closely with the EA/PA team, providing cover and supporting wider team projects when required.
Qualifications
Excellent time management and organisational skills, with the ability to plan ahead and maintain strong attention to detail.
Proven experience liaising with senior stakeholders and managing multiple priorities.
A proactive, solutions-focused approach with strong problem-solving skills.
Confident working in a fast-paced, high-energy environment.
Strong interpersonal and communication skills, able to build positive relationships internally and externally.
A collaborative team player who is helpful, curious, and dependable.
Proficient in MS Outlook, Excel, and PowerPoint.
A positive, adaptable mindset with a genuine enthusiasm for supporting others and contributing to team success.
